Behavioral Health Facility Case Mix Data Submissions

Overview

CHIA collects behavioral health facility data quarterly from participating providers on patient demographics, diagnoses and procedures, physicians, and charges for each inpatient discharge in Massachusetts.

Facilities must submit data according to the requirements of the submission guide, which sets forth the file format, record specifications, data elements, definitions, code tables, and edit specifications.

Submission Deadlines

Facilities are required to submit data quarterly following a standard hospital fiscal year schedule (October 1-September 30).

Q1 (10/1-12/31) by 3/16
Q2 (1/1-3/31) by 6/14
Q3 (4/1-6/30) by 9/13
Q4 (7/1-9/30) by 12/14

Registration Instructions

Behavioral health facilities submit their Case Mix data through CHIA Submissions, CHIA’s web-based transaction service. If you are a new provider or new user and do not have log in credentials, you must register to submit data via CHIA Submissions as soon as possible.

Complete User Agreement

Complete and sign the CHIA Data Reporter User Agreement after reviewing the DRUA instructions. Note that each individual user for an organization must complete the form.

Submit User Agreement

Submit the completed Data Reporter User Agreement to DL-Data-Submitter-HelpDesk@chiamass.gov. You will be notified when your account is ready to use.

Reporting Requirements

Behavioral health data submitters will need to install Hospital FileSecure to encrypt data before submitting it to CHIA. Download the behavioral health file encryption and submission instructions for details.

Technical Assistance

CHIA occasionally hosts Case Mix Technical Assistance Group (TAG) webinars at which hospitals or facilities can ask questions regarding provider data submissions. Look for upcoming meetings below or review presentation materials from previous TAG webinars.
